WHOLESALE TERMS AND CONTRACT
In order to serve our customers and maintain the best communication, we have provided wholesale terms below. Please read carefully and contact us with any further questions at mcaston@madisonsterlingjewelry.com.
OPENING ORDER / REORDER – Faire - If you are on the wholesale platform, Faire, please place your opening order via our Faire Direct link … www.faire.com/direct/madisonsterling. Refer to “Faire Wholesale, Inc. Retailer Terms of Service” for details. (www.faire.com/tos-retailer). All available products are on our Faire profile.
Catalog – All Madison Sterling products are listed in our catalog. See Faire for package options. If you are not on Faire, you may place your opening order and all re orders by emailing mcaston@madisonsterlingjewelry.com. A confirmation and further instructions for payment & shipment will be emailed to you. Opening orders are per store location.
REORDER - Minimum reorder is $100. Minimum reorder is per store location. Reorders will only be shipped if all previous orders have been paid in full.
PAYMENT (EMAILED ORDERS) – Emailed orders are written/invoiced via Quickbooks or written/invoiced by Madison Sterling via Faire. You do NOT have to have a Faire account to pay your Madison Sterling invoice. You may check out as a “guest” on Faire. In the event that orders cannot be written/invoiced via Faire, we ask that a credit card remain on file with Madison Sterling for agreed upon orders to be charged. For your order to be automatically charged to the credit card on file, a credit card authorization form must be completed and returned to mcaston@madisonsterlingjewelry.com. The authorized credit card will securely remain on file for future orders until Madison Sterling Jewelry, LLC is otherwise notified by email. If you wish for a different credit card to be on file, a new credit card authorization must be completed and returned. Orders will be charged within 48 hours of shipment. If you do not wish to keep a credit card on file, you may pay by credit card via a link on the emailed invoice. You will receive an invoice via email within 72 hours of shipment date. Orders will be shipped once the invoice has been paid. If the invoice is not paid within 15 business days, the order will be cancelled (unless further arrangements have been made and agreed upon.) Accepted forms of payment are Visa, Mastercard, Discover, American Express. Business checks accepted upon approval.
CREDIT TERMS – Because our line is offered on Faire, Madison Sterling does not offer credit terms. We encourage you to view and use Faire’s available credit terms. Some exceptions may apply. Please email Mandy at mcaston@madisonsterlingjewelry.com if you have any questions regarding payments. PRICING - A suggested retail price is stated in the catalog and on Madison Sterling’s Faire site. However, we know that you must price items according to your business needs. Madison Sterling Jewelry does not sell to retailers who sell under keystone (double the wholesale amount).
PACKAGING - Each piece of jewelry will arrive with a scripture tag attached that identifies the pendant’s corresponding verse and reference. We kindly ask that this tag remain on the necklace so that your customer (or those receiving the piece as a gift) is able to identify the meaning of the line and the verse. Each piece of jewelry in your order will also come with a branded jewelry pouch. The pouches are prepackaged with an information card. We feel that each customer deserves to receive the entire package with their purchase! If we have failed to send any component mentioned above with your jewelry order, please let us know and we will send it to you asap!
DISPLAY - Part of the success of Madison Sterling jewelry depends upon the customer’s immediate understanding of the meaning behind the jewelry line. Our sturdy, metal display does just that in a cohesive and beautiful way. It has proven to be an extremely helpful tool for our retail partners in increasing sales. For this reason, we require that retail partners who wish to carry Madison Sterling jewelry use our custom displays.
The following displays are required … “Original display” for necklaces, “6 hook” or “12 hook” earring display for earrings, “bracelet display” for bracelets. We also offer a “Petite display”. The Petite Display is NOT required. It is an option for additional display of our Petite Necklace collection. Additional displays may be purchased. See Madison Sterling catalog or Madison Sterling on Faire for display details. Catalog & Faire – The display cost is included in all packages. If you are selecting your own pieces, you may add the required display individually. If you are placing an opening order for multiple store locations, you will need to add additional displays to your Faire cart or emailed order.
EXCLUSIVITY & PROXIMITY - We want to serve and support our retail partners the very best way we can. One way we feel that we can do this is by offering exclusivity with our line to your business. We carefully review each application (emailed or via Faire) to check for proximity to other stores who carry Madison Sterling jewelry. Proximity and various other factors will be taken into consideration before approval of a wholesale account. Once approved, the retail applicant must place an opening order within 7 business days. If an opening order is not placed within 7 business days, the account will be marked as inactive, allowing another customer to be approved for the area.
Faire - If a new applicant’s opening order is accepted via Faire, the approval is only for the location stated on the store’s Faire profile. A store with multiple locations must contact Madison Sterling to have additional locations approved. Madison Sterling does not adhere to Faire’s exclusivity program, as we have retail partners that do not use Faire.
To maintain exclusivity, active accounts must adhere to the following …
1. In order to guarantee exclusivity, a reorder must be placed every 6 months and a minimum $2500 total order must be made within a year. If a re-order is not placed within the stated guidelines, the area will be marked as available. (Once your $2500 order is reached, a 6 month reorder is not required.)
2. Madison Sterling displays, signage and packaging (attached verse tag, branded jewelry pouch) must be used & in place at all times.
3. The retail establishment must actively share Madison Sterling Jewelry on their social media platforms or advertising.
DELIVERY & SHIPPING - Orders are typically processed and ready to ship within 3-5 business days from the date the order is placed. Large orders or out of stock items may take 4-6 weeks for delivery. We ship ground via Fed Ex and USPS with insurance and a tracking number. Shipping cost will be added to your invoice. Rush shipping is available upon request. Cost of rush shipping will be quoted and will be the responsibility of the retailer to pay.
BACKORDERS - All pendants are custom made. Due to the casting and finishing process, there may be times when there is a delay in processing an order. In this case, we will contact you with the option of changing or cancelling your order.
CHANGES & CANCELLATIONS – Because we ship quickly, any change or cancellation to an order must be made within 24 hours by emailing mcaston@madisonsterlingjewelry.com or via Faire message portal. Cancellations or changes may not be made once an order has been shipped. Rush orders cannot be cancelled.
RETURNING/EXCHANGING ITEMS - Carefully inspect the jewelry shipment upon arrival. If you have any concerns about your order (such as incorrect or damaged pieces), please contact us within 4 business days by email or phone. We will gladly make this right. For damaged items believed to be caused by shipping, please keep all packaging material so that shipping insurance may be collected with the carrier.
Faire - Please see Faire’s terms and conditions for returns. We ask that you contact us before contacting Faire, as we are always happy to resolve any issues that our customers have.
SHIPPING RETURN/EXCHANGE ITEMS – Please contact us by email before shipping an exchange/return. Madison Sterling reserves the right to refuse items that are returned without notice. Returned merchandise must be received within 14 business days of receiving your shipment. Return merchandise must be unworn and returned with individual tag/packaging. Shipping cost will be covered by Madison Sterling if return is due to damaged or incorrect pieces. Shipping cost to be covered by retailer if reason for exchange is for unwanted pieces or mistakes in ordering. Any loss or damage to jewelry being returned in transient to Madison Sterling by carrier will be the responsibility of the retailer. Therefore, any claims must be made and handled by the retailer with the shipping company.
IN STORE REPAIRS - We will repair or replace any jewelry that is damaged or broken while on display at your store at no cost. Please email sales@madisonsterlingjewelry.com to start the process.
CUSTOMER SERVICE/CUSTOMER REPAIRS – We will gladly repair/replace your customer’s jewelry piece at no cost if damage is due to faulty workmanship by Madison Sterling Jewelry (or defect in parts) within 1 year from date of purchase. If an item is damaged by the customer, we will gladly repair the damaged piece within 1 year from date of purchase for a fee.
For all repairs/replacements, please visit (or have your customer visit) www.madisonsterlingjewelry.com/customer-service & submit the form. Once the form is received, we will contact the submitter & a return address label will be emailed to the email address provided by the submitter. Upon receiving the damaged piece, we will assess the damage to help determine the cause. The retail store or customer will be contacted with further information. Please allow up to 30 days for repairs.
SOCIAL MEDIA & WEBSITE - In addition to our website, Madison Sterling Jewelry has an active Instagram and Facebook page. Your business will be listed as a retail partner on our website, as well as mentioned on our social media pages. We feel this is a great way to support and show our appreciation. If for any reason you wish to not be listed on our website or included in our social media posts, please inform us via email. We will also gladly provide you with images of our jewelry if you wish to use them for advertisement on your social media platforms.
